This draft explains how Blue Ridge Ski and Outing Club expects to handle information provided by visitors, members, and activity participants. It replaces the November 2024 page only after board review.
Information we collect
We may collect contact details, membership and household information, emergency and activity information, registrations, payment references, messages sent through the site, account and remembered-device records, and security or error logs needed to operate and protect the service.
How we use information
Your member profile is not a public directory. Public visitors cannot open member or household profiles. Primary and Secondary Household Members can manage their household’s profiles. Administrator access is limited to authorized club operations. Original newsletter PDFs require an active member sign-in because they may contain personal contact details.
- Process membership requests, renewals, registrations, and payments.
- Communicate about trips, events, newsletters, and club operations.
- Provide member and household services according to assigned access.
- Diagnose errors, prevent abuse, and maintain an audit trail for sensitive actions.
Optional location and community features
Trip and Event rooms are limited to confirmed and waitlisted participants. Active chat content is retained for 90 days and may be moderated; the retention action permanently redacts expired message bodies. Location sharing is off until a member explicitly consents and starts a share in one eligible room. A share expires after the selected 1, 4, or 12 hours and can be stopped sooner. Revoked and expired coordinates are redacted. The current meet-up radar remains inside BRSOC and does not send coordinates to an external map provider.
Game participation, submitted responses, reviews, and scores may be stored as club activity records. A game does not receive location data unless the member separately uses the location-sharing control in an eligible room.
Payments and service providers
Payment providers process payment details under their own privacy terms. The club should store payment references and status, not a member's full card or PayPal credentials.
Retention and security
Information should be retained only for club operations, legal obligations, safety, and appropriate historical records. Access is limited by account, household, board, and administrator permissions. No internet service can guarantee absolute security.
Your choices
Signed-in members can visit My account → Privacy to see who has access, use a first or preferred name with a last initial in member activities, and block location sharing. Blocking location stops existing shares and clears their coordinates. Re-enabling the option does not restart sharing. The Security page lets members revoke sessions and remembered devices.
Approved public photographs and details that someone writes into a message or publication are separate from the private member profile. Authorized readers can copy documents or take screenshots. Privacy settings cannot recall copies already obtained. Use the privacy request form to raise a concern about an existing publication or photo.
You may ask the club to review or correct your information and may revoke remembered devices and optional sharing. Some records may need to be retained for payment, safety, audit, or legal reasons.
Children and household accounts
Individual accounts and Primary or Secondary Household Member roles require an adult. A Primary or Secondary Household Member may choose to grant a Household Member a restricted account. The final policy must address consent and any age-specific legal requirements before those accounts are enabled in production.
